International School Delft Secondary - Student Administration - 0.5 FTE - start 1 September 2026

Student Administration

  • 0.5–0.6 FTE | Scale 6 | International School Delft Secondary

International School Delft Secondary is looking for an organised, service-oriented and proactive?Administration Officer?to support the smooth running of our school’s daily operations.

This is a varied role at the heart of the school. You will coordinate essential administrative processes, support the Leadership Team, communicate with parents and students, and help ensure continuity when unexpected changes occur.

The position requires availability on?every school day, from?08:00 to 12:00 for 0.5 FTE, or until approximately?12:50 for 0.6 FTE.

Your responsibilities

Teacher cover administration

  • You coordinate the daily administration of cover for absent teachers, including unplanned, same-day, short-term and medium-term absences. You maintain accurate records of cover allocations and help ensure that cover duties are distributed fairly throughout the school year.
  • You also maintain contact with external flexible teachers or cover providers, coordinate their deployment, record the hours worked and check these records against invoices.

Communication about timetable changes

  • You ensure that parents and students receive timely and accurate information through Toddle about short-term timetable changes, including changes to lesson start or end times and cancelled lessons.

Special-leave requests

  • You manage the administrative process for student special-leave requests. This includes checking that requests are complete, coordinating with International School Delft Primary where necessary, facilitating an appropriate review and ensuring a timely response to families.

Student data administration

  • You maintain accurate and complete student records in Toddle. This includes checking and updating information such as: Home addresses; Parent and emergency contact details, including Dutch telephone numbers; Passport and identification documents; Other required student information. You also support the annual transfer and rollover of student data between academic years.

Leadership Team support

  • You provide administrative and management-assistant support to the Leadership Team. Depending on operational needs, this may include: Supporting agenda management; Scheduling and coordinating meetings; Preparing meeting agendas and documentation; Recording or tracking decisions, actions and deadlines; Compiling administrative information; Drafting internal and external communications; Supporting the administrative preparation of meetings and school activities. Recruitment administration;

You support the administrative coordination of recruitment processes by:

  • Managing the recruitment email inbox;
  • Supporting recruitment administration in AFAS;
  • Maintaining an overview of applications and administrative follow-up;
  • Coordinating interview schedules;
  • Preparing candidate correspondence, including invitations and rejections;
  • Monitoring the completion of each step in the recruitment process;
  • Preparing relevant information and overviews for the Management Team.

General administration & Reception backup

  • You provide backup for other administrative processes where necessary and feasible. You help maintain continuity during staff absences, busy periods and peaks in workload, working closely with colleagues in administration, reception, finance and operations. You act as a morning backup for the Receptionist during periods of absence and assist with essential reception duties where required.

Your profile

You are someone who:

  • Works accurately and systematically;
  • Can manage several administrative processes simultaneously;
  • Remains calm and solution-focused when unexpected changes occur;
  • Understands the importance of timely and clear communication;
  • Handles personal and confidential information with discretion;
  • Takes initiative and follows tasks through to completion;
  • Enjoys working collaboratively in an international school environment;
  • Is approachable, service-oriented and professionally assertive;
  • Is confident working with digital administrative systems.
  • Experience with school administration, Magister, AFAS, Toddle or a comparable student information system is an advantage. Strong written and spoken English is required. Knowledge of Dutch is highly desirable, particularly for communication with local organisations and the processing of Dutch administrative information.
